Application Copy & Onboarding System

WORK COMPLETED: 2024-2025

Vendor-facing application and onboarding copy and workflow for festivals and events, designed to reduce confusion and streamline apps.

I created a vendor-facing application and onboarding system for a small festivals and events team, to be utilized manually by coordinators who receive x2-4 applications per day for a few months leading up to each event. This was designed to reduce confusion and streamline approval workflows for this music and event venue that dislikes automations and has a large outreach base, allowing for inquiring vendors to have access to information and applications in a timely and self-starting manner.

The workflow included a digital application, manual management review with templated responses, conditional billing instructions, and post-payment confirmations — all supported with clear instructional and confirmation text.

Workflow tools used:

  • Cognito Forms (integrated with Stripe)

  • Gmail + templates

  • Google Sheets

SCOPE:

  • Vendor-facing application copy and instructional text

  • Eligibility, requirements, and deadline guidance

  • Tone calibration across acceptance, waitlist, and follow-up messaging

  • UX-focused field labels, prompts, and helper text

  • Confirmation and next-steps communication

  • Editorial structure designed to reduce confusion and follow-up inquiries
